Instapic Terms
Simple terms for booth codes, digital content and Magic Mirror event hire.
Booth-code details
After a successful online payment, Instapic issues a unique 6-digit code for the package selected. An unused paid booth code has no expiry date and can be entered at a participating Instapic photo booth or magic mirror operated by Little Trends.
Keep your code safe. Anyone with the code may be able to use the session or view its associated content. Save, screenshot or download it after purchase.
Bonus-content details
Each code provides the prints and digital features shown for the selected package. Once a code has been used to begin a booth session, it cannot be used to start another paid session unless Little Trends agrees otherwise.
After completing a session, use the same code to retrieve available photos and bonus content. Guests should download and save their content within the retrieval period shown on the website. Instapic is not intended to be permanent cloud storage.
Problems and refunds
If payment succeeds but no code is issued, a valid code is not accepted, or the purchased service cannot be supplied, contact Little Trends through the booth operator or the contact channel used for your booking. We will check the transaction and provide an appropriate solution.
Change-of-mind refunds are not normally offered after a valid code has been issued. Nothing in these terms excludes or limits rights and remedies available under the Australian Consumer Law.
Fair use
Do not attempt to guess, copy, sell, interfere with or misuse another guest’s code, session or private-event content. Access may be restricted where necessary to protect guests or the service.
Event booth-code details
A private event has a 6-digit host portal number for the event hirer. This is separate from a guest’s paid or printed session code. The host number may provide access to event information, payment status, event controls and the combined event gallery, so the hirer must keep it private and share it only with an authorised person.
Individual event sessions may also issue or print a 6-digit booth/session code above the strip QR code. That session code allows the guest to retrieve content from their own session; it does not grant access to the host’s complete event portal.
Event bonus-content details
Event photos, strips and available bonus content may be uploaded to the private event portal during the event. Upload timing depends on the booth, internet connection and successful processing, so content may not appear instantly.
The event hirer and guests should download and safely store the content they wish to keep. Instapic event access is a delivery and viewing service and is not a promise of permanent cloud storage. Any special event inclusions, delayed releases or longer retention arrangements must be stated in the accepted quote or agreed in writing.
Event-hire deposit and bond
The booking deposit amount shown in the accepted quote (normally $150) secures the agreed event date and is applied toward the final hire price. A quote or accepted quote does not reserve a date or Magic Mirror before the event-hire agreement is accepted and the deposit is successfully paid. Availability may be checked again immediately before payment; if the quoted equipment has become unavailable, no deposit will be taken and the quote may be withdrawn or revised.
Unattended Magic Mirror hire also requires a separate $500 refundable security-bond authorisation. This is not an additional hire fee and is not included in the quoted hire total. The bond and any outstanding hire balance must be approved before the Magic Mirror is activated for use at the event. Unless a chargeable issue is identified, the bond is normally returned within two business days after the equipment has been collected and inspected.
Event cancellation and rescheduling
If the hirer cancels 30 or more days before the event, they may request one transfer of the booking deposit to another available date within 12 months. If they prefer a refund, payments will be refunded less reasonable documented work and non-recoverable costs already incurred for the booking.
If the hirer cancels 14–29 days before the event, the booking deposit may be retained to cover booking administration, preparation and the reserved date. Other hire payments will be refunded, less any additional reasonable documented non-recoverable costs.
If the hirer cancels fewer than 14 days before the event, the deposit may be retained and Little Trends may deduct reasonable documented costs and losses caused by the late cancellation, including completed custom work and the reasonable loss of a booking opportunity. Cancellation charges will not exceed the agreed hire price, will be reduced by amounts reasonably recovered by rebooking the date, and any remaining payment will be refunded.
A request to reschedule is subject to Magic Mirror, date, location and staffing availability and is not confirmed until Little Trends approves it in writing. Genuine emergencies and exceptional circumstances may be considered individually.
If Little Trends cancels or cannot provide the agreed event-hire service, the hirer may choose a full refund of event-hire payments or transfer to another mutually agreed available date. These terms do not limit any rights or remedies under the Australian Consumer Law.
Care, security and collection
The hirer must keep the equipment indoors or in another approved secure location, protected from weather, liquids and interference. Equipment must not be moved, opened, repaired, disconnected or modified without Little Trends’ permission. Reasonable power, internet access where required, and safe access for setup and collection must be maintained.
Collection must be available at the agreed time. A 30-minute grace period applies, followed by $75 per commenced hour where access is delayed. Ordinary late-collection, reattendance and additional-hire charges are capped at $500. This cap does not apply to loss, theft, damage, deliberate misuse or reasonable documented losses caused by interference with another confirmed booking.
If the equipment cannot be recovered and inspected before a card authorisation expires, Little Trends may capture the security bond. After the equipment is recovered and inspected, the captured bond will be reconciled and refunded less permitted reasonable documented charges. Where collection could not occur at the agreed time, a $150 reattendance and administration charge may apply; this amount includes ordinary payment-processing costs.
Loss, theft and damage
The hirer is responsible for the reasonable cost of cleaning, repairing or replacing equipment lost, stolen or damaged while under their care, excluding fair wear and tear or faults not caused by the hirer. The security bond is applied first. Reasonable documented costs above the bond may be invoiced separately.
Theft, deliberate damage or misuse may be reported to police and an insurer. Any applicable insurance recovery will be taken into account so the same loss is not recovered twice.
Remote support and equipment monitoring
Instapic equipment may use automated and AI-assisted monitoring to report operational information such as power, connectivity, software health, printer status, paper availability and error messages. Little Trends may use secure remote access to diagnose faults or restart the booth.
Monitoring helps us support the service but cannot guarantee that every fault, interruption, theft or instance of damage will be detected or prevented. It does not continuously record general guest activity or private conversations. Cameras and microphones operate only when a guest intentionally uses a disclosed photo, video or audio feature.
